Santa's making an appearance at Nienhuis Park!

Santa will be at Nienhuis Park (51/Lynn Lane) again this year. He's scheduled for Saturday, Dec 19 from 9 - 11 a.m. Bring your own camera. This is a free event. He is by far the best looking Santa in town!

Volunteer Day

We held a volunteer day yesterday to prep the pool for winter and do landscaping at the front entrances. THANK YOU SO MUCH to the following volunteers that came out:

Each of them spent 1-3 hours of their time helping the Association.

We would like to see more volunteers come out each time so that the work can get done quicker and each of you can get on with your day.

HOA General Meeting

The HOA General Meeting was held last night and minutes will be posted here and in the newsletter soon. Just wanted to congratulate our BIG winners from last night.

The $250 Lowe's gift card for Yard of the Month went to Robert and Joyce Graney! I bet Robert's at Lowe's right now buying a nice round bush for his yard! :-)

The TV w/ DVD player went to Elisa T. - she seemed shocked - I think she thought she won one of the many $10 gift cards we gave away and seemed pleasantly surprised w/ her big win!

Also, congratulations to our 1st Volunteer of the Year recipient Kim (Patrick) Dutton!

Once again, this year we'll be keeping track of volunteer hours and we will do fun stuff just for the volunteers. Thanks to Lindsay, Tracy, DeWayne, Katrina and Kim for helping last night at the meeting! (Make sure to read the post below about volunteer day this Sunday.)

Volunteer Day this Sunday, Oct 11th

Come on out and help get the pool ready for the winter. We'll meet at 1 p.m. this Sunday, October 11th at the pool. We will be doing things such as:

Putting away pool furniture, cleaning the bathrooms, winterizing the bathrooms, etc.

If we have a big enough turnout, we may send some people to the entrances to pull weeds. We'll provide snacks and drinks. This is a great way to get to know your neighbors and get involved!

Additional notification (in addition to the July newsletter) w/ information regarding the upcoming general meeting is being distributed this week. Many of you have already received yours this past weekend, however, the volunteers may not be done w/ their distribution. Everyone should receive a 4 page packet (top page green - others white) in the area of their front door no later than this Thursday, Sept 3, outlining voting, etc. to occur.

Blowing your grass...

After mowing, please blow (or sweep) your grass off of the sidewalks AND the street. Blowing the trimmings into the street not only looks bad it can potentially clog the drainage system and cause flooding issues in the future.

Landscaping

Thanks to those of you that have volunteered your time to pull weeds at the entrances and pool area!

We still have some to be done. I believe one of the entrances along 41st still needs taken care of. The 215th entrance was worked on last night - the person that voluteered sent this info:

"...There are three big bushes that are dead that need to be dug out. Also, the crepe myrtle and the bushes could use some trimming."

If anyone would like to remove the dead bushes and trim the others that would be great. We are currently having issues w/ the sprinkler system and until that is resolved, we will not be investing in any new landscaping.

Pool Closed Today

We are having issues w/ maintaining the correct chemical balance at the pool today. Therefore, the pool is closed for the remainder of today (Thursday, June 25). The pool company has been out (they were there around 8 a.m. this morning and again this afternoon) and advised us to keep it closed today while they get the chemicals corrected. We have volunteers that check the pool 4 times per day and if the chemicals are not within certain ranges, we are required, by the Health Department, to close the pool. We are sorry for any inconvenience this may cause. Our top priority is to have the pool open as much as possible, but at the same time, maintain the safety of the swimmers.

Volunteers Needed!

We are looking for volunteers for the following tasks:

~Pull dead flowers and weeds at the entrances.
~Pull weeds from around the pool. (We have planted ground cover around the pool – please do not pull it.)

We are not setting a specific volunteer time for this. If you’d like to volunteer, just go out when you have some extra time. Please email us w/ what you did and the amount of time you volunteered so that we can log your hours. We do drawings at the meetings for gifts for volunteers and you will also be able to attend the volunteer party on Saturday, August 1.

Keycard pickup update:

The final scheduled keycard pickup is for:

Wed, June 10, 5:30 - 6 p.m. (21160 E 39 Pl)

After that, contact Polly (355-9444) or Dawn (355-3128) to retrieve a keycard. The turnaround time for obtaining a keycard after June 10th is up to 72 hours. If dues are past due, 72 hour turnaround begins once they are paid in full.

Yard of the Month judging!

Yard of the Month judging will occur this weekend! If you have any nominations, send them to us before Friday (June 12th) at 5 p.m. Homeowner must be a member in good standing to qualify.

3rd offense - Loss of keycard for remainder of swim season

Keycard pickup notice

If you have not picked up your keycard, we have set specific times to get them. Here's the upcoming scheduled:

Wed, June 3 from 5:30 - 6:30 p.m. (at Dawn's house - 21160 E 39 Pl)
Fri, June 5 from 5:30 - 6:00 p.m. (at Dawn's house - 21160 E 39 Pl)

~If you are current on your dues, just stop by during one of these times to get your card.
~Every adult homeowner in your house must sign the waiver.
~The keycard fee is $4.
~If you are not current on your dues, contact Alicia at 402-7637. Keycards will not be issued if dues are unpaid. In addition, keycards will only be issued during the designated times.

The following is an outline of the dates the HOA Board has made available to obtain a keycard:

Pool Keycard Pickup / Pool Rule Reminders

Rule Reminder:
No one is allowed in the pool area without a keycard. We removed over 15 people from the pool area over the weekend that were not authorized to be there. The waiver you signed states that you will not let others into the pool area that are not with your group - please follow this rule. Also, if you know someone is not supposed to be there, please ask them to leave. The board members will be doing random checks of keycards as was done this weekend. We appreciate your cooperation.

Pool scheduled to open this Saturday, May 23rd!

The pool inspection is scheduled for this week and if all goes well, the pool will open on Saturday at 9 a.m. (Reminder - adult only swim time is 9-10 am and pm each day the pool is open).
Hours are:
9 a.m. - 10 p.m. Daily
Closed on Mondays (unless Monday is a holiday, open Monday and closed Tuesday)


~Pool keycard pickup is this Saturday, May 23rd from 11-2 at the pool. Bring:
~Photo ID
~$4 (keycard fee)
~Check for unpaid dues (if applicable)
Each homeowner must sign a waiver before a keycard will be issued.

If you have not picked up your keycard yet and are unable to come on Saturday, give us a call and we will plan a time to get with you. Please allow 72 hours turn-around time for this process. Thank you.


~Volunteers are still needed for checking the pool chemicals. We have a lot of slots open. The water must be checked 4 times per day. Please do your part and sign up. To learn how to check the chemicals, show up at the pool this Saturday at 10 a.m. or Sunday, May 31st at 1 p.m. for a quick demo.

The health department requires a homeowner to be certified to check/monitor the pool. Kim D., one of the homeowners, volunteered for this position. He has attended the required course and has already been at the pool making sure it's ready to go. Thanks Kim!

Vandalism/trespassing, etc.

We have had some recent issues that homeowners would like others to know about.

One was a couple of weeks ago and happened on 39 Street in Phase I. During the night, someone got into the homeowners car, used the garage door opener to get into the garage and stole a motorcycle.

The other occurred last night on 40th Street in Phase II. A vandal trashed a homeowners front yard w/ items such as newspaper, toilet paper, plasticware stabbed into the ground and comments written on their windows.

We have received reports of a neighborhood teen girl climbing the fence into the pool area. There are fines/penalties associated w/ unauthorized access to the pool. If you know who the teen is, please contact the HOA, or, if you see her in the pool area, contact the police.

If you know anything about these issues, please contact the police. In addition, if you notice anything unusual, please do not hesitate to contact the police.

Pool Update

Thanks so much to the volunteers that came out yesterday to help prepare the pool for the summer season. We pulled weeds, installed the stairs, fixed the water fountain, cleaned the bathrooms, learned how to check the chemicals, etc.

If everything goes as planned this week with the pool inspection, the pool will be open on Saturday. We will be at the pool from 11-2 distributing keycards. Please bring photo ID and $4. Remember - each homeowner must sign the waiver and dues must be current. Waivers will be available at the pool.

Pool Volunteers Needed

We are in desperate need of people to volunteer to check the pool water. This must be done 4 times per day. There are approx. 350 slots to be filled. Since we have approx. 600 homeowners, if everyone does their part, this should not cause an unnecessary burden on any one person. The HOA Board of Directors will not solely take on this task. If there are not enough volunteers, the pool will have to be closed on that day.

If you do not use the pool, please remember that having the pool shut down does not decrease the HOA expenses. In addition, it can decrease your property value as potential buyers see a pool that is closed due to the inability to obtain volunteers. Please do your part and sign up for a few times. This will take very little time out of your day and will benefit the entire neighborhood.

Pool Update

After additional investigation regarding the bid we received for the pool steps and the requirements from the health department, it has been determined that we are unable to put steps into the pool at this time. We are proceeding w/ preparing the pool for the summer - it is currently being filled with water and we plan to have it up and running and ready for inspection this weekend. If the pool passes inspection (scheduled for next week) the pool will open, as scheduled, on Saturday, May 23rd.

Cars parked in the street

Reminder: Per the Covenants, Owners or residents vehicles shall not be parked in any street. (Section II, Restrictions, Subsection M) This includes work vehicles of owners/residents in Eagle Ridge.

Another issue regarding parking - complaints are on the rise regarding people have frequent parties w/ large numbers of vehicles in attendance (typically, in excess of 20) - the fire department has been called out and they have issued warnings. They have also stated that in the future, tickets will be written for illegally parked cars. Some of the issues are:

~Parking too close to stop signs
~Blocking fire hydrants
~Parking on both sides of the street which prevents emergency vehicles from driving down the street
~Blocking other homeowners and preventing them from safely being able to get in and out of their drive

If you are experiencing issues w/ this, please contact the non-emergency numbers listed below and request someone come out and issue tickets. The more people that call, the quicker this issue can get resolved.

Pool Update

Construction and maintenance work will begin on the pool this week. The work will take approximately 2 weeks to complete. There is a long list of items to be completed. Some of the items are required to comply with a new law (The Virginia Graeme Baker Pool and Spa Safety Act) that went into effect at the end of 2008. Some other items are:
~Repair broken parts
~Replace items missing from the pool / pump area.
In addition to this, the concrete steps will be removed. They are not up to code and the pool will not pass inspection until they are gone.
If you have any questions, please direct them to us, rather than the workers at the pool.

Proxy form for absentee voting

If you will be unable to attend the meeting on Monday, May 4th, please complete one proxy form per homeowner (example - if 2 people own the home, complete 2 forms). Submit the form before the start of the meeting so that a vote can be cast in your absence. You can assign another homeowner to vote in your place (they must be a homeowner in good standing and be in attendance at the meeting) or you can leave it blank and the board of directors will cast a vote for you.

Special Meeting Highlights

We had an overwhelming attendance at the meeting last night. Thank you so much to the over 80 homeowners who showed up! Also, thank you to Michael Skates and Farhad Daroga from the City of Broken Arrow.

Topics of discussion were a vote for a keycard system for the pool and then the City of Broken Arrow joined us to discuss the benefits and procedures for annexation into the City. Highlights from the meeting minutes are below:

Keycard system – vote of the homeowners occurred – system was approved.

Benefits:
 Gate remains locked
 Delinquent homeowners cannot get access pool
 Cards can be shut off at any time if misused
 No need for a wristband
 Eagle Ridge HOA access only
 1 card per household
 Nominal fee for card
 No monthly charge
 Fee if card lost/stolen
 Will not increase HOA dues
 Auto-locks for bathrooms

Cost:
 $22 per household (this will come from dues already collected – there will not be a special assessment).

Annexation
Michael Skates and Farhad Daroga from the City of Broken Arrow came to discuss the annexation process.

Benefits:
 Trash $13.95 a month, 2 times a week, 10 bags maximum and $10 fee for special pick up
 We would stay on rural water
 BA police
 Animal control
 Code enforcement of issues like: trash, weeds, trailers, broken fences, basketball goals and broken down vehicles
 Take care of gun and weapon problems
 Storm sirens can be put in neighborhood after evaluation from the city
 Receive reverse 911 calls for surrounding areas if a problem arise
 See FAQs below for other information provided by the City.

Cost:
 $1 fee for light fee and $3 fee for storm water will appear on bill

Special Meeting, Monday, March 30, 7 p.m.

The Board of Directors has scheduled a special meeting for: Monday, March 30th at 7 p.m. to be held at Liberty Elementary. A letter has been mailed to each homeowner outlining what will be covered at this meeting. It is very important to have a good turnout, since the meeting will involve a vote as well as we have a special guest speaker. A copy of the letter and it's attachment are below. Most of the letters were mailed out on Thursday, March 19th.

Per the bylaws/covenants, if there are 2 homeowners for a property, they each get 1/2 of a vote. If you plan on attending the meeting w/out the other homeowner, please have them complete the proxy form in advance so that you can vote in their absence.

Thank you to the volunteers!

Thank you so much to those of you that volunteered your time to help with the landscaping, fence, etc. at the pool this past Sunday. We had beautiful weather for a work day and got most of the scheduled projects complete! Thanks to:
Lisa and Nick, Beau and Megan, Dewayne, Kim D. and the board members present. Also, I heard Lindsay helped finish up some of the work yesterday...let me know how much time you spent so we can get it logged!

Special Meeting scheduled: Monday, March 30th, 7 p.m.

The Board of Directors has scheduled a special meeting for Monday, March 30th at 7 p.m. Topics that will be discussed are:

~Annexation into the City of Broken Arrow – We will have a special guest speaker from the City of Broken Arrow to present to the homeowners what steps are involved to be annexed into the City and outline the benefits we would receive. He will also answer any questions you have regarding annexation. If possible, please forward specific questions in advance to: eagleridgehoa@gmail.com so that he can be better prepared.

~Pool keycard system – The Board of Directors would like to install a keycard system at the pool before opening this summer. The benefits of the keycard system are:
o It will provide the necessary security that we have not had in the past with the unlocked/unsupervised gate.
o It will eliminate the previously used wristband system.
o It will help to prevent children from accessing the pool without adult supervision (one keycard will be issued per family).
o It will prevent homeowners that have not paid their dues from having access to the pool.
o It will prevent unauthorized individuals from accessing the pool.

41st Street Fence

The 41st Street fence replacement is scheduled to start March 11th. They will start on the east end and work west. They plan to have the job completed in 4-6 weeks. If you back up to this fence, a letter was delivered to your home last night (Mon, March 9th)providing more detailed information.

Volunteer Day this Sunday, March 8th!

We'd love for you to come out and help! We'll be meeting at the pool at 1 p.m. We will be doing the following:

Removing bushes
Trimming trees
Planting ground cover
Fence work
Glass clean up
Trimming ornamental grass
Repair of leaking faucet
Etc.

If you have any of the following to bring, that would be great:

~Shovel (large and hand)
~Tree trimmer
~Gloves
~Loppers
~Broom/dust pan
~Trash bags
~Any other tool that might be useful

Volunteer Day March 8 at 1 p.m.

We have scheduled the next Volunteer Day for Sunday, March 8th at 1 p.m. We will be meeting at the pool.

Some of the tasks to complete are:

~Shrub removal
~Tree trimming
~Fence repair
~Trimming of ornamental grass at main entrance

It's all about teamwork!

Here's a perfect example of how a neighborhood should function. Last night around 7 p.m., my phone rang. It was Frank O. (ER homeowner) letting me know there was a water leak at the pool. He was unsure of where the shutoffs were located - not to mention finding them would have been difficult since it was dark and snowy. I called my neighbor, Kim D., and asked him to run down there and check it out. Frank said he'd be there to help w/ anything. Kim brought his kids over for me to watch while he headed down there. He said Frank O. was there, Jon M. arrived and a couple of other guys (sorry, don't have your names). Jon directed Kim to the shutoffs and he was back w/in 10 minutes - problem resolved. From what Kim could tell, it appears the leak is above ground and can dealt with at a later date. This was such a great showing of neighborhood support. People being willing to help when it's needed. Thanks to Frank, Kim, Jon and "the other guys" that were there to get the job done! ~ Polly

January Newsletters have been distributed.

The newsletters were distributed over the weekend. They were placed in the area of your front door (most on them near the door knob/some under the door mats). Those of you that share the fence along 41st street received a letter insert w/ the newsletter regarding the fence. If you did not receive your newsletter (or letter insert), you can view/print the newsletter from here or contact us and we will bring another one to your home. Thank you to Amy S. for distributed to almost all of Phase II and to the rest of you that volunteered.
